👥 Your Journey as an Employee

Learn how to create and manage jobs and visits, coordinate contractors and visitors, and track their onboarding progress

As an Employee, 9ID helps you coordinate projects, create jobs and visits, and keep track of ongoing activities. Your journey starts with accessing 9ID, followed by planning work, managing contractors and visitors, and monitoring their onboarding progress and readiness.

👥 Who does what?

Before getting started, it's helpful to understand the different responsibilities.

👩‍💻 Employee

As an Employee, you can:

  • View projects created by your administrator (if enabled).

  • Create and manage jobs.

  • Add contractor companies and invite their administrators.

  • Create visits and invite visitors.

  • Monitor contractor and worker onboarding progress.

👷 Contractor Administrator

The Contractor Administrator is responsible for:

  • Adding and managing contractor employees.

  • Managing subcontractors.

  • Completing the required onboarding steps.

  • Assigning workers to jobs when required.

💡 Good to know: As an Employee, you cannot add contractor employees yourself. This is managed by the Contractor Administrator.

📅 1. Create a job

Jobs help you organise and coordinate the work carried out by contractor companies.

How to create a job under a project

Step 1 — Open your project

Go to Projects in the left-hand menu and select the project you want to work with.

Step 2 — Add a job

Click Add job to start creating a new job.

Step 3 — Complete the job details

Fill in the required information:

  • Job name: Give your job a clear, recognisable name.

  • Company: Select the contractor company responsible for the work.

  • Organiser: Select the person responsible for organising the job.

  • Project: Confirm the project associated with the job.

  • Start and end dates: Define when the work will take place.

  • Additional information: Add any other relevant details.

Step 4 — Create your job

Review the information and click Create job.

Your job has now been created! 🎉

💡 Good to know:

  • Not every organisation uses Projects. If you don't see Projects in the left-hand menu, this feature isn't enabled for your company.

  • When creating a job under a project, the job's start and end dates must fall within the project's dates.

🏢 2. Add a contractor company

Can't find the contractor company you want to assign to your job? No problem! You can create a new company directly from the job form.

How to add a company

Step 1 — Search for the company

In the Company field, search by company name or VAT number to check whether the company already exists.

Step 2 — Create a new company

If the company isn't listed, click Create new company.

Step 3 — Enter the company details

Provide the following information:

  • VAT number

  • Company name

  • Contractor Administrator's email address

Step 4 — Save the company

Click Create company and continue completing your job.

✉️ What happens next?

The Contractor Administrator will automatically receive an invitation to 9ID.

Once invited, they can take care of managing their company, adding workers and subcontractors, and completing the required onboarding steps.

You don't need to add their employees yourself.

✅ 3. Monitor contractor onboarding

Once your job has been created, you can follow up on the contractor company and its workers.

How to check onboarding progress

Step 1 — Open Jobs

Go to Jobs in the left-hand menu.

Step 2 — Select your job

Open the job you want to review.

Step 3 — Check the contractor information

On the job details page, you can review the contractor and worker information linked to the job.

What if no workers have been assigned?

If no workers have been assigned yet, this will be visible on the job page.

Contact the Contractor Administrator and ask them to add or assign the relevant workers.

💡 Remember: Adding contractor employees and managing their onboarding is the responsibility of the Contractor Administrator.
