How to add and manage your workers
Adding your workers to 9ID is the first step towards getting them ready for their upcoming work on site.
As a Contractor Company Administrator, you can add new workers, manage their information, send invitations, and help them complete their required onboarding tasks.
In this guide, we'll walk you through everything you need to know.
Before you start: Get your workers site-ready
We want every worker to have a smooth and hassle-free first day!
Make sure to add your workers to 9ID well before their first day on site. This gives everyone enough time to complete the necessary requirements.
Depending on the site's setup and requirements, workers may have different tasks to complete. These can include:
Social security registration: Providing documents such as A1, Limosa, or Dimona.
Mandatory documents: Uploading required certificates or other documentation.
Online training and tests: Completing any required training before arriving on site.
On-site requirements: Completing certain tasks, such as an exam, upon arrival.
Some tasks can be completed by you as the Company Administrator, while others must be completed by the workers themselves.
Why is this important?
Completing all applicable requirements in advance helps ensure that workers can check in quickly and easily at the gate. If tasks are still incomplete, they may not be allowed to access the site.
Our tip: Don't wait until the last minute! Add your workers as soon as you know they will be coming on site, and regularly check their onboarding progress.
1. Add a new worker
Let's start by adding your worker to the platform.
Navigate to Workers in the left-hand menu
Click + Add worker in the top-right corner.
Enter the worker's first name, last name, and email address.
Select the appropriate role, such as Contractor Employee.
Double-check the information and click Add worker.
That's it! Your worker will now appear in your company’s worker list and automatically receive an invitation email to access 9ID and complete their tasks.
Tip: Always use the worker's correct email address, as this is where they will receive their invitation.
2. View worker details and onboarding progress
Once a worker has been added, you can easily access their information and check which tasks still need to be completed.
From here, you can view their personal information, assigned access profiles, required tasks, and uploaded documents.
Each task has a status, allowing you to see what has already been completed and what still needs attention.
3. Edit worker information
Need to correct someone's details or update their access profiles? You can make these changes directly from their worker profile.
Open the worker's details.
Click Edit.
Update the relevant information.
Adjust the Access Profiles if necessary.
Click Save to confirm your changes.
Your changes are now saved.
4. Resend an invitation
Has your worker not received their invitation, or has the original invitation expired? No problem! You can easily send a new one.
Go to Workers and open the worker's details.
Click Resend invite.
A confirmation message will appear, and a new invitation email will be sent.
Tip: If the worker still cannot find the invitation, ask them to check their spam or junk folder.
5. Complete the required onboarding tasks
Before workers can start working on site, they need to meet the applicable onboarding requirements.
The exact tasks depend on the site's configuration, so not every worker will necessarily have the same requirements.
Who completes which tasks?
You, as the Company Administrator
You can complete certain tasks on behalf of your workers, such as social security registration or uploading A1, Limosa, and Dimona documents.
Your workers
Some tasks must be completed by the workers themselves, such as online safety training or required tests.
On-site tasks
Certain tasks, such as an exam, may need to be completed once the worker arrives on site.
How to complete a task as an Admin
Navigate to Workers and select the relevant worker.
Find the Tasks section in their profile.
Check which tasks are still marked as Open.
Select the task you want to complete.
Enter the required information and click Save.
Once successfully completed, the task status changes to Done.
Keep in mind that tasks assigned to the worker must be completed by them. Tasks that can only be performed on site will remain open until the worker completes them there.
Important: Where possible, complete all required tasks before the worker's first day. This helps prevent delays or access issues at the gate.
You're all set!
Your worker has been added, invited, and can now work towards completing their onboarding requirements.
Before their first day, make sure that:
The worker has been added with the correct information.
The worker has received their invitation.
All applicable documents have been provided.
Required online training has been completed.
Any remaining on-site tasks are understood.
Taking care of these steps in advance helps make everyone's first day on site as smooth as possible.
