🙋 Invite & Manage Visitors

Add visitors to upcoming visits, send invitations, and follow up on their status.

Once you've created a visit, it's time to invite your visitors.

You can add visitors while creating the visit or afterwards, giving you the flexibility to manage your visitor list as plans change.

Option 1 - Add visitors when creating a visit

1. Find or invite a visitor

After completing the visit details, click Next to proceed to the visitor selection.

From here, you can:

  • Search for an existing visitor: Enter their name or email address to find someone already registered in 9ID.

  • Invite a new visitor: Enter the email address of someone who hasn't been registered yet.

2. Build your visitor list

Select the visitors you want to add.

You can add one or more visitors to the same visit.

Check that everyone you want to invite appears in your visitor list.

3. Create the visit

Once you're happy with the visitor list, click Create visit.

🎉 Your visit has now been created!

Invitations will be sent to the visitors you've added.

Option 2 - Add visitors to an existing visit

Don't have your final visitor list ready yet? No problem!

You can create the visit without selecting any visitors and add them later.

1. Open your visit

Go to Visits in the left-hand menu.

Find and open the visit you want to update.

2. Add visitors

Click Add visitor.

You can then search for an existing visitor or enter the details of someone new.

3. Add multiple visitors

Organising a visit for a larger group?

You can use the Excel import option to add multiple visitors at once, rather than entering them individually.

This is especially useful for large group visits or events.

✉️ What happens after inviting a visitor?

Visitors added to the visit receive an invitation to 9ID.

Depending on your organisation's setup, they may be asked to complete additional onboarding tasks before arriving on-site.

These can include identification, safety instructions, or other site-specific requirements.

Once the required onboarding steps are completed, visitors can use their personal QR code for check-in, subject to the site's access requirements.
